Who we are

This service ("Remi") is an AI front-desk assistant provided in the United Kingdom by THE VISIONARY PLATFORM LTD, a company registered in England and Wales (company number 17198186), registered office 167–169 Great Portland Street, 5th Floor, London, W1W 5PF ("we", "us"), on behalf of the business you contacted ("the Business"). When you message or call the Business's number, you may be assisted by Remi. For your data, the Business is the controller and we act as its processor under the UK GDPR.

What we collect

• Your name and phone / WhatsApp number
• The content of your messages and calls with Remi — calls are answered by an AI assistant and may be recorded and transcribed to provide the service; you are told this at the start of the call
• Appointment details (service, date, time, status)
• Anything else you choose to tell us during the conversation

We do not ask for clinical or medical details. Please don't share sensitive health information in chat — discuss that with the Business directly.

Why we process it (and our lawful basis)

• To answer your enquiry and book, change or cancel appointments — performance of the service you requested (Article 6(1)(b) UK GDPR).
• To send appointment reminders and waitlist offers — to perform the booking service, and with your consent given when you first message us.
• To report aggregate activity to the Business (e.g. number of bookings) — legitimate interests (Article 6(1)(f)).

Who we share it with

The Business (your appointment is theirs), and the service providers that make Remi work: our telephony/WhatsApp provider (Twilio), our speech providers (Soniox, Microsoft Azure Speech), our database (Supabase), our AI providers (Google, Anthropic, OpenAI), our hosting (Railway), our call-recording storage (Cloudflare), and calendar (Google, if used). Some of these process data outside the United Kingdom; where they do, transfers are protected by appropriate safeguards such as adequacy regulations or standard data protection clauses (including the UK International Data Transfer Addendum). A current list of sub-processors is available on request.

How long we keep it

We keep your data only as long as needed to provide the service and meet legal obligations, then delete or anonymise it. Retention period: 24 months after your last interaction (unless a longer period is required by law or a shorter one is set by the Business).

Your rights (UK GDPR)

You may request access to, correction or erasure of your personal data, ask us to restrict processing, object to processing, and request data portability. To exercise these, contact us at the address above — or contact the Business directly, as controller. You may also complain to the Information Commissioner's Office (ICO) — ico.org.uk.

Reply STOP at any time to stop receiving WhatsApp messages from Remi.

We may update this policy; the "last updated" date will change accordingly.
