How garages can reduce MOT no-shows (UK)

Practical ways UK garages can cut MOT no-shows: confirmations, reminders, easy rebooking, a short-notice list and a fair policy for deposits.

Many MOT no-shows can be cut with written confirmation at booking, a reminder two days and one day before, and an easy way to cancel or move the booking at any hour. Keep a short-notice list to refill gaps, and if you want a deposit, keep it small and deduct it from the MOT price. Charging a fee after the event is possible if agreed in advance and proportionate, but prevention keeps the bay busy.

What does a missed MOT cost a garage?

The maximum fee for a car MOT is £54.85, and MOT fees are not subject to VAT (GOV.UK, MOT test fees). Garages are free to charge less, so the direct loss on a missed test is at most £54.85 for a car.

The bigger cost is what comes with it. An MOT often leads to repair work on failures and advisories, and the tester's time and the bay cannot be resold at short notice. If the customer then books elsewhere, you may lose their servicing too.

There is no official figure for MOT no-shows in the UK, so measure your own. For a month, record booked MOTs, attended MOTs and cancellations with notice. That gives you a baseline to improve on.

Why do customers miss booked MOTs?

  • They forgot. MOTs are booked weeks ahead, often in reply to a reminder.
  • They booked elsewhere. A customer who rang several garages may have booked with two and kept the cheaper or nearer one.
  • They could not cancel. If nobody answers when they ring to cancel, some will simply not turn up.
  • Their plans changed. Work, childcare or no second car to get home.
  • They were not sure of the drop-off. Unclear times, address or what happens while they wait.

What actually reduces MOT no-shows?

Cause Fix
Forgot Confirm in writing at booking; remind two days before and the day before
Booked elsewhere Book while the customer is on the phone, and confirm straight away
Could not cancel Let customers cancel or move by replying to a reminder, or by phone at any hour
Plans changed Offer early drop-off, waiting area or collection options when booking
Unsure of logistics Put drop-off time, address and parking in the reminder
Gaps left by cancellations Keep a short-notice list of customers happy to come in early

Appointment confirmations and reminders are service messages. The ICO lists messages that "confirm or remind them about appointments" as examples (ICO, identify direct marketing), so you do not need marketing consent to send them. Keep offers out of them.

How do you use the early-MOT window to refill gaps?

Drivers can have an MOT up to a month, minus a day, before it runs out and keep the same renewal date (GOV.UK, getting an MOT). That gives you a pool of customers who can come in early without losing anything.

Build a short-notice list from customers whose MOT falls due in the next few weeks and who are happy to bring the car in at short notice. When an MOT is cancelled or someone does not turn up, offer the slot to the list. Tell them their renewal date will not change if the test is within the window.

For customers whose MOT has already expired, mention that GOV.UK allows them to drive to a pre-arranged MOT test, and that driving without a valid MOT otherwise risks a fine of up to £1,000. Rebooking them quickly is in their interest as well as yours.

Should you charge for missed MOTs or take deposits?

A no-show charge is a term of your contract with the customer, so consumer law applies. The Consumer Rights Act 2015 lists, as potentially unfair, a term requiring a consumer who fails to fulfil their obligations "to pay a disproportionately high sum in compensation" (Consumer Rights Act 2015, Schedule 2). The CMA's guidance on unfair contract terms explains how such terms are judged.

In practice:

  • A small deposit at booking, deducted from the MOT price, is simpler than chasing a fee and keeps the total within the statutory maximum.
  • Use it selectively, for example for new customers, peak weeks or customers who have missed before.
  • State the policy before booking, including how much notice you need to refund or move the deposit.
  • Make it two-way. If you have to cancel, the customer gets the deposit back.

For longer workshop jobs, such as a booked service with parts ordered in, a deposit that covers ordered parts is easier to justify.

How do you make sure customers can reach you to cancel?

The no-show you can prevent most easily is the customer who tried to cancel and could not get through. In a small garage, the people who could answer the phone are often under a car.

An AI receptionist for garages and MOT centres such as Remi answers calls 24/7, books, moves or cancels MOTs in Google Calendar or Acuity (or texts your booking link for other systems), and sends reminders at 48 hours, 24 hours and 2 hours before. If a call is missed, it sends a WhatsApp text-back. Remi can also take an optional deposit or send a payment link at booking. It does not quote for repairs or give safety advice, and urgent calls are put through to your chosen person or taken as a detailed message.

What should you do after a no-show?

  1. Send one friendly message the same day offering a new time. Some no-shows are genuine mistakes.
  2. Remind them of their MOT due date if it is close, without lecturing.
  3. Note the no-show on the customer record.
  4. For repeat no-shows, ask for a deposit next time.

The short version

  • Measure your own MOT no-show rate first; there is no national benchmark.
  • Confirm in writing at booking, remind two days and one day before, and include drop-off details.
  • Make cancelling and moving easy at any hour, and refill gaps from a short-notice list of customers within the early-MOT window.
  • If you take deposits, keep them small, deduct them from the MOT price and state the policy before booking.
  • Follow up no-shows the same day with a new time rather than a penalty.

Common questions

Can a garage charge for a missed MOT?

You can include a cancellation or no-show term in your booking terms if it is clear before booking and proportionate to your loss. A small deposit deducted from the MOT price is often simpler, because it keeps the total within the statutory maximum fee and avoids chasing money afterwards.

What is the maximum MOT fee?

The maximum fee for a car is £54.85 and £29.65 for a standard motorcycle, according to GOV.UK. MOT fees are not subject to VAT. Garages are free to charge less than the maximum.

Can a customer drive to an MOT if their old one has expired?

Yes, to a pre-arranged MOT test, according to GOV.UK. That is worth mentioning when a customer whose MOT has expired wants to rebook, because driving without a valid MOT otherwise risks a fine of up to £1,000.

When should we send MOT appointment reminders?

Two days before gives time to refill the slot, and the day before catches the rest. A short message on the morning with drop-off time and your address helps too.

Do appointment reminders need marketing consent?

No. The ICO treats confirming or reminding people about appointments as a service message. Reminders that an MOT is due and invite a booking are different and are safest treated as marketing.

Customer won't pay? What a UK electrician can do

Remind, send a formal letter of claim, then use the online court claim. Court fees start at £35, and businesses that pay late owe statutory interest.

Do vets have to provide 24-hour emergency cover?

Yes, but not personally. RCVS guidance says vets must take steps to provide 24-hour emergency first aid and pain relief, and it can be outsourced.
